Services may be provided directly by Zonal Trip or arranged through third-party travel suppliers.

2. Acceptance of Terms

By using our services, you confirm that you have read and understood these Terms & Conditions and agree to comply with them.

If you do not agree with any part of these terms, please do not proceed with a booking or use our services.

3. Booking & Confirmation

All bookings are subject to availability and confirmation.

A booking will be considered confirmed only after:

  • Required passenger/customer information has been received.
  • Availability has been confirmed.
  • Applicable payment has been received.
  • The relevant booking confirmation, ticket, voucher, or other confirmation has been issued.

A quotation or price shared during an enquiry does not guarantee availability or pricing until the booking is confirmed.

4. Customer Information

Customers must provide accurate and complete information required for their booking.

This may include:

  • Full name
  • Date of birth
  • Contact details
  • Passport details
  • Nationality
  • Travel dates
  • Visa information
  • Other documents required for the selected service

Zonal Trip shall not be responsible for additional charges, cancellation, rejection, or loss resulting from incorrect or incomplete information provided by the customer.

5. Pricing

Travel prices and availability may change at any time due to supplier pricing, availability, taxes, exchange rates, seasonal demand, fuel charges, government regulations, or other factors.

The final price will be the amount confirmed at the time of booking.

Unless specifically mentioned, quoted prices may not include personal expenses, optional services, local taxes, meals, baggage charges, visa fees, travel insurance, or other additional costs.

6. Payment Terms

Customers must make payment according to the payment terms communicated at the time of booking.

  • Full or partial payment may be required depending on the service.
  • A booking may not be confirmed until the required payment is received.
  • Applicable taxes, government charges, supplier fees, and service charges may apply.
  • Payment deadlines must be followed to maintain the booking.
  • Failure to make payment within the specified time may result in cancellation or loss of availability.
  • Any cancellation or refund will be subject to the applicable service provider's policy.

7. Flight Bookings

Flight bookings are subject to the fare rules and conditions of the respective airline.

Customers are responsible for checking the passenger name, travel date, route, flight timing, baggage allowance, and other ticket details before confirmation.

Airline tickets may be subject to cancellation, rescheduling, name correction, or amendment charges.

Zonal Trip is not responsible for airline-initiated delays, cancellations, schedule changes, denied boarding, baggage issues, or other operational decisions made by the airline.

8. Hotel Bookings

Hotel reservations are subject to the hotel's availability, booking conditions, and cancellation policy.

Customers should verify the:

  • Hotel name and location
  • Check-in and check-out dates
  • Room category
  • Number of guests
  • Meal plan
  • Cancellation conditions
  • Included and excluded services

Hotels may charge additional amounts such as security deposits, resort fees, local taxes, or other charges directly from guests.

9. Cruise Bookings

Cruise bookings are subject to the terms and conditions of the respective cruise operator.

Customers must ensure that they have all required passports, visas, travel documents, and other documents necessary for boarding and entry into the relevant destinations.

Cruise operators may change itineraries, ports, departure times, or onboard services due to weather, safety, operational, governmental, or other circumstances.

Cancellation, amendment, and refund requests will be governed by the applicable cruise operator's policy.

10. Visa Assistance

Zonal Trip may provide visa assistance, documentation guidance, appointment coordination, and related support.

However, visa approval is solely at the discretion of the relevant embassy, consulate, immigration authority, or government department.

Zonal Trip does not guarantee:

  • Visa approval
  • Visa issuance
  • Appointment availability
  • Processing time
  • Entry into a destination country

Visa fees, government charges, appointment fees, and certain service charges may be non-refundable.

Customers are responsible for providing genuine, complete, and accurate documents within the required timeframe.

11. Holiday Packages & Tours

Holiday packages may include flights, hotels, sightseeing, transfers, meals, activities, guides, and other services as specified in the confirmed itinerary.

Only the services specifically mentioned in the booking confirmation will be considered included.

Any additional services requested by the customer may involve additional charges.

Changes to a confirmed itinerary may be subject to availability and additional costs.

12. Corporate & MICE Services

Zonal Trip provides Corporate and MICE services including meetings, incentives, conferences, exhibitions, corporate travel, group travel, accommodation, transportation, and event-related arrangements.

Corporate and MICE bookings may have separate payment, cancellation, amendment, and refund terms based on the requirements of the event and respective suppliers.

Any special terms agreed in a written proposal or quotation will apply to the relevant corporate booking.

13. Cancellation

Cancellation requests must be submitted through an authorized communication channel.

Cancellation charges depend on the applicable airline, hotel, cruise operator, tour operator, visa provider, insurance company, or other supplier.

Some services may be completely non-refundable.

Cancellation of one component of a package may affect the pricing or cancellation conditions of other components.

14. Refunds

Refunds are subject to the policies of the respective service provider.

Where a refund is approved:

  • Applicable supplier cancellation charges may be deducted.
  • Zonal Trip service or administrative charges may apply.
  • Government or visa fees may be non-refundable.
  • Payment gateway or bank charges may apply where applicable.
  • Processing time will depend on the relevant supplier and payment provider.

Zonal Trip cannot guarantee a refund where the supplier does not approve or provide the refund.

15. Rescheduling & Amendments

Changes to confirmed bookings are subject to availability and the applicable supplier's rules.

Additional charges may include:

  • Fare differences
  • Supplier amendment fees
  • Hotel rate differences
  • Cruise amendment charges
  • Government taxes
  • Service charges
  • Other applicable costs

The customer is responsible for all applicable charges resulting from requested changes.

16. Travel Documents

Customers are responsible for ensuring that all travel documents are valid and available before departure.

These may include:

  • Passport
  • Visa
  • Travel insurance
  • Tickets
  • Booking confirmations
  • Identity documents
  • Health or vaccination documents where required
  • Destination-specific documents

Customers must comply with the entry, immigration, and travel requirements of the destination country.

17. Travel Insurance

Customers are advised to obtain suitable travel insurance before travelling.

Insurance policies are subject to the terms, conditions, exclusions, and approval of the respective insurance provider.

Zonal Trip is not responsible for claims rejected or declined by an insurance provider.

18. Third-Party Suppliers

Zonal Trip may arrange travel services through third-party suppliers, including:

  • Airlines
  • Hotels
  • Cruise operators
  • Tour operators
  • Visa providers
  • Insurance companies
  • Transportation providers
  • Destination management companies
  • Payment providers
  • Other travel partners

Third-party suppliers have their own terms, conditions, policies, and cancellation rules.

Zonal Trip is not responsible for service interruptions, cancellations, delays, price changes, or other issues caused by third-party suppliers.

19. Changes by Suppliers

Airlines, hotels, cruise operators, tour operators, and other suppliers may modify or cancel services due to operational, weather, safety, technical, governmental, or other circumstances.

Where information is provided to Zonal Trip, we will make reasonable efforts to communicate relevant changes to the customer.

Any alternative arrangement or refund will be subject to the supplier's applicable policy.

20. No-Show

If a customer fails to use a confirmed service without cancelling within the permitted cancellation period, the booking may be treated as a No-Show.

No-show bookings may be completely non-refundable depending on the supplier's terms.

21. Force Majeure

Zonal Trip shall not be responsible for failure or delay caused by circumstances beyond its reasonable control, including:

  • Natural disasters
  • Severe weather
  • Pandemics or epidemics
  • War
  • Terrorism
  • Strikes
  • Civil unrest
  • Government restrictions
  • Border closures
  • Airport closures
  • Airline disruptions
  • Cruise disruptions
  • Technical failures
  • Other unforeseen circumstances

Any refund or alternative arrangement will depend on the respective supplier's policy.

22. Customer Responsibility

Customers are responsible for:

  • Providing accurate information.
  • Checking all booking details.
  • Maintaining valid travel documents.
  • Obtaining required visas and permits.
  • Following airline, hotel, cruise, tour, immigration, and local regulations.
  • Arriving at airports, hotels, ports, and other departure points on time.
  • Paying applicable additional charges.
  • Following the terms and conditions of the respective service providers.

23. Website Information

Zonal Trip makes reasonable efforts to keep information on its website accurate and updated.

However, travel prices, availability, schedules, visa requirements, and supplier policies may change without notice.

Information displayed on the website does not constitute a guarantee of availability, price, or service until officially confirmed.

24. Privacy & Data Protection

Zonal Trip may collect and process customer information required to provide travel services, process bookings and payments, communicate with customers, and comply with legal requirements.

Customer information may be shared with relevant airlines, hotels, cruise operators, visa authorities, insurance companies, payment providers, and other suppliers where necessary to fulfill a booking.

25. Limitation of Liability

Zonal Trip will make reasonable efforts to provide the services confirmed to the customer.

However, Zonal Trip shall not be liable for indirect, incidental, special, or consequential losses caused by circumstances beyond its reasonable control.

This may include losses resulting from:

  • Flight delays or cancellations
  • Missed connections
  • Baggage loss or delay
  • Hotel-related issues
  • Cruise itinerary changes
  • Visa rejection
  • Immigration decisions
  • Government restrictions
  • Natural disasters
  • Supplier failures
  • Customer's failure to comply with travel requirements

26. Fraudulent Transactions

Zonal Trip reserves the right to cancel or suspend a booking if a transaction appears fraudulent, unauthorized, suspicious, or unlawful.

Additional verification may be requested where necessary.

27. Complaints & Customer Support

Customers should report any issue related to their booking to Zonal Trip as soon as reasonably possible.

We will make reasonable efforts to coordinate with the relevant supplier and assist in resolving the issue.

However, the final resolution may depend on the policies and decisions of the respective service provider.

28. Intellectual Property

All website content, including the Zonal Trip name, logo, text, graphics, images, designs, and other materials, is owned by or licensed to Zonal Trip unless otherwise stated.

No content may be copied, reproduced, modified, distributed, or commercially used without prior written permission.

29. Modification of Terms

Zonal Trip reserves the right to update or modify these Terms & Conditions from time to time.

Updated Terms & Conditions may be published on our website or communicated through official channels.

The revised terms will become effective upon publication unless otherwise specified.

30. Governing Law & Jurisdiction

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of India.

Any dispute arising from or relating to these Terms & Conditions or the services provided by Zonal Trip shall be subject to the jurisdiction of the competent courts in Delhi, India.
